Draft Privacy Information — Light Up Fort Erie

1. Overview

Light Up Fort Erie ("we", "the initiative") is a free annual community initiative organized by Fort Erie Home Group to showcase Christmas light displays across the Town of Fort Erie, Ontario. We take your privacy seriously and adhere to fair information principles and Canadian anti-spam legislation (CASL).

2. Public Map Browsing

The interactive Christmas lights map is open and accessible to all visitors without requiring an account, registration, login, or email submission. Browsing the map is completely anonymous.

3. Homeowner Submissions

When a homeowner submits a property to be listed on the map, we collect:

Private information: Submitter's first name, last name, email address, phone number, and internal verification notes. This information is strictly confidential and is never published publicly.
Public display information: Street address (for verified real listings), neighbourhood, display nickname, description, lighting schedule, and submitted photographs.

Submissions are held in a pending state until reviewed by an administrator. Homeowners can request updates or removal of their display at any time by contacting the organizer.

4. Email Subscriptions & Consent

We maintain strict separation between communication categories:

Seasonal Map Updates: Sent solely during the active holiday season with updates about newly published displays, featured neighbourhoods, and season wrap-up.
Optional Community Newsletter: Occasional emails from Fort Erie Home Group regarding local community news and real estate insights. This requires a separate, explicit, unchecked consent.

Every consent record stores the subscriber's email, timestamp, form source, and the exact consent wording presented at the time of signup. You may unsubscribe from any email list at any time using the one-click link included in messages.

5. Data Protection

We do not sell, rent, or trade your personal information to third parties. Access to submission records and subscriber lists is restricted to authenticated campaign administrators.
